Chicago, IL –September 19, 2005 –Biscom (www.biscom.com) Today at the ARMA Conference and Expo, Biscom announced that it will integrate its products with Vignette® Records & Documents to provide the ability to store, manage and retrieve fax communications to help enable organizations to meet stringent regulatory requirements.

In accordance with the Sarbanes-Oxley and Gramm Leach Bliley Acts, as well as industry regulations such as SEC 17a-3 and 17a–4 and NASD 3010/3110, many organizations must retain secure records of communication. Most organizations have methods of filing or scanning hard copy documents and many have put in place systems for archiving electronic mail. However, faxes frequently fall through the cracks between hard copy and electronic documents and may be overlooked.

To address this problem, Biscom will integrate its products with Vignette Records & Documents to provide a solution for capturing copies of fax transmissions and storing them in a US DoD 5015.2 compliant records retention system. Once stored, the faxes cannot be deleted until a requisite time period passes. Furthermore, a compliance investigator can perform both structured queries as well as full text searches on faxes stored in the document repository to obtain the records and copies of any faxed documents.

The solution will combine two enterprise-class products, Biscom’s FAXCOM Servers and Vignette Records & Documents, to enable an organization to enforce its document
retention and disposition policies automatically, in a consistent manner that simplifies compliance audits.
Key features will include:

  • Capture of both inbound and outbound faxes
  • Central definition of retention and disposition policies
  • Automatic association of fax documents with retention policies, based on metadata
  • Configurable notifications to users to allow review of documents scheduled for disposition
  • Disposition “Hold” to prevent disposal of selected documents
  • Scheduled folder cut-off to facilitate archive management
  • Disposition policies include scheduled export to external systems or to compliance storage hardware.
