The Transcription Center Replaces FTP with BDS

By utilizing the services of The Transcription Center, doctors can minimize the time, expense, and overall cost associated with the transcription of documents, redirecting and focusing their valuable resources on patients. The Transcription Center receives dictation from physicians in the form of digital audio files, and then distributes these files to their staff of transcriptionists. Each file is transcribed into the appropriate text format and then returned to the customer. A number of challenges are inherent in meeting the customers’ needs, including usability, secure file transfer, working with large files, as well as timing and coordination.

The biggest issue facing The Transcription Center is usability. "Most of our clients are physicians and they have more important things to worry about than how to send audio files," said Cathy Daniels, President of The Transcription Center. "The simpler we make it for them to submit dictation to us, the better." Security is also a primary concern, as the vast majority of the dictation being sent contains personal medical information and is therefore subject to HIPAA regulations. The Transcription Center had been using an FTP solution, but there were concerns regarding the level of security that solution provided, and some customers were not finding it particularly user-friendly. Management was also having difficulty tracking the status of submitted dictation, which made it hard to determine which transcriptionists were working on which jobs at any given moment.

The Transcription Center was able to solve their problems with Biscom Delivery Server, a Web-based secure file transfer solution that enables enterprise-class file transfer and secure email. "The Web-based interface is simple enough," said Daniels, "but BDS also provides an automatic send feature that enables physicians to put audio files in a local drop-box for automatic transmission to us. That’s a big simplification for our customers and a huge selling point!"

Managed File Transfer with Biscom Delivery Server

We discussed the secure and auditable delivery of files using Biscom Delivery Server in the last newsletter, and how it integrates with directory services like LDAP and Active Directory for enterprise customers. This month, we're announcing the release of our next version -- 2.5 -- which includes support for Microsoft SQL Server, and an updated desktop client, the Biscom Delivery Manager.

Biscom Delivery Manager is a platform neutral desktop that allows users to easily send and receive files using drag and drop. With a clean, easy user interface, and tight integration with the user's desktop, BDM is a great companion to the ubiquitous Web interface. For extremely large files (multi-gigabytes), BDM supports automatic resume from point of failure after a network outage or power failure. No more gnashing your teeth when your transfer dies after completing 4.9 GB of a 5 GB file! As a background service, BDM will continue to run and upload or download files even after a user logs off the workstation.

 



Managed File Transfer Tech Tip: Express vs. Regular Deliveries

There are two types of deliveries that BDS provides its users -- standard delivery of an existing package, and express delivery. A collection of files, what we call a "package" in BDS terminology, can consist of any number of files of any file type. When a user wants to make these files available to others, the user simply creates a delivery for the package by entering the email addresses of the recipients. For packages that are sent frequently or contain files that do not change frequently (for example, HR information, software, or standard brochures and literature), users do not have to upload those files each time they want to deliver them. This saves time, uses less disk storage, and centralizes reporting and tracking of outbound files for auditing purposes.

However, many users have ad-hoc deliveries, or "one-offs" and don't want to go through the package creation step and then the delivery step. BDS express deliveries combine these two steps, enabling the user to upload files and send them to recipients immediately -- akin to sending an email with attachments, except the BDS express delivery is secure, tracked, and bandwidth friendly!
